A work schedule template for your salon, free to download

An Excel sheet for one month and a team of up to 8 people. You enter the hours, and each employee's total is calculated for you. A second sheet works out how many days of annual leave they are entitled to.

An XLSX file with no email and no sign-up. The labels inside the file are in Polish.

Who this template is for

  • A salon owner (hair, beauty, nails or barber) who plans the rota in a notebook or on paper.

  • A team of 2 to 8 people where one sheet per month is enough.

  • Anyone who wants to total employees' hours quickly and check their annual leave entitlement under Polish law.

How to use the schedule

  1. Set the month

In cell B2, type the first day of the month, for example 01.12.2026. The weekdays fill in by themselves and weekends turn grey.

  2. Add your team

Type your employees' names in the first column. There is room for 8 people.

  3. Enter the hours

In the yellow cells, type the number of hours worked that day, for example 8 or 6.5. An empty cell is a day off. Mark leave with the letter U.

  4. Read the totals

The Suma godzin column totals each employee's hours, and the Razem godzin w dniu row shows how many hours the whole team covers each day. The days worked and days of leave columns count themselves.

How much annual leave: Polish Labour Code art. 154

The second sheet, Urlop, works out the yearly entitlement from two rules. You enter the years of work experience and the working time fraction, and the result appears in the green cell.

  • 20 days of leave a year when work experience is shorter than 10 years (Polish Labour Code art. 154 § 1).

  • 26 days of leave a year when work experience is at least 10 years (Polish Labour Code art. 154 § 1).

  • Time spent in education also counts towards work experience. Article 155 of the Labour Code says which years of education count.

  • For part-time employees the entitlement is proportional to their working time, and a part of a day is rounded up to a full day (Labour Code art. 154 § 2).

This is general information, not legal advice. The sheet does not cover leave in the first year of work or additional leave. Check those cases in the law or with your accountant.

In Asystio, schedules and leave live in the software

This spreadsheet is enough when your rota rarely changes. If your team grows or staff often swap days, it is easier to keep the schedule next to the booking calendar. In Asystio you plan the team's work, employees submit leave requests and you approve them.

Questions about the schedule template

Is the template free, and do I need to give my email?
It is free. You download the file with one click, with no email and no account.
Does the sheet calculate overtime and the working time norm?
No. It adds up the hours you enter. Check the working time norm, public holidays, daily rest and overtime against the law and the contracts in your salon.
How many days of annual leave is an employee entitled to?
Under Polish Labour Code art. 154 § 1, 20 days when work experience is shorter than 10 years and 26 days when it is at least 10 years. For part-time employees the entitlement is proportional, and a part of a day is rounded up to a full day. For example, 12 years of experience at half time gives 13 days.
What if I have more than 8 people?
Insert a new row between the existing employee rows and copy the formulas from the row next to it. The totals will include the new row. The team calculator on the Urlop sheet has eight rows, so for extra people use the calculator at the top of that sheet.
