September: fewer switches, a more complete customer workflow

The first half of September was about more than documents. We worked on the calendar and dashboard, reception workflows, the Academy, CRM, payments, forecasts, communication, aftercare with products and GAIA. Here are the changes, grouped by how you can use them in your business.

Changes from to

Highlights

  • Visits connected to billing, materials and follow-up
  • Staff access matched to their responsibilities
  • GAIA with data previews and drafts for review

From booking to follow-up

We improved booking saves, appointment visibility and connections between the calendar and dashboard. Cancelling a booking can make its time slot available again.

We refined the steps from a completed visit to billing, documentation and customer follow-up. Available actions depend on service settings and staff permissions.

The agreed appointment price is preserved, including zero-price visits. We improved rescheduling, customer identification and rejection of stale time slots. Saving a visit and sending its confirmation have separate outcomes.

Dashboard and calendar reflect the same working day

Saving or changing an appointment refreshes the dashboard agenda. Cancelled appointments no longer remain in upcoming-visit previews.

We fixed task-type selection in dashboard dialogs and appointment-readiness loading. A failed read can be retried instead of leaving you with a technical error.

Roles and everyday reception work

Invitations and staff settings let you select modules and data scope. Reception staff can work with team calendars when the owner grants the required permissions.

We improved invitation handling and access information. Joining a business does not automatically grant access to administration, finance or every customer's data.

Renewed invitations preserve the selected role. Staff receive an introduction to the app and can reopen help. An operational view of the team does not require access to all HR records.

Academy: from a course draft to team skills

We expanded AI-assisted course creation: structure, lessons, quizzes and answer editing. Longer generation runs as a saved job, and content preparation can be separated from media generation.

We refined course maps, step navigation and quizzes on small screens. Passed courses can add a result and date to a staff member's skills profile; opening a course does not count as passing it.

We fixed a permission error when marking a lesson complete. Progress, notes and bookmarks remain saved when the course is reopened. Going through all materials does not replace any required assessment.

Forecasts and reports with clearer supporting evidence

We improved saving and retrieving forecast results and showing execution states. Analyses display available source and quality information instead of adding confidence that cannot be supported.

Clearer charts, KPI comparisons and service results help distinguish actual performance from missing data. Report schedules validate recipients and respect the business time zone.

Booking payments and more consistent billing

Owners can enable online booking payments after configuring the business's Stripe connection. The interface shows connection readiness; payment on site remains available according to the business settings.

We refined payment receipts, their document links and gross, net and VAT calculations on import. Returning to the site after checkout does not replace confirmation of a recorded payment.

Materials used during a visit

We improved service-recipe matching and loading recipe ingredients and stock locations. Completing a visit accounts for materials, while cancellation releases their reservation.

Staff access to shipments respects the assigned inventory scope. These changes concern appointment workflows, not completion of every inventory feature.

CRM preserves your layout and contact context

We improved saving personal CRM layouts for each business and linking customers, appointments and conversations so existing contact context is preserved between modules.

Preparing a birthday offer preserves existing customer tags and notes and avoids duplicating the same offer within a year. Preparing a message remains separate from sending it.

Messages and aftercare

We refined manual SMS and email communication around appointments. Sending respects staff access and the customer's contact permissions.

Aftercare recommendations can be written manually or prepared as an AI-assisted draft. The business reviews them before sharing them with the customer.

We connected provider confirmations for sent and delivered emails and improved invitation-resend feedback. Delivery confirmation does not mean the message has been read.

Aftercare with products from the salon

After the visit, customers see recommendations approved by the salon. The business can attach inventory products with an image, name, current price and a link to buy in its shop when an offer is available.

AI can help organise a draft, but it does not invent products or publish recommendations on behalf of the salon. Manual writing and editing remain available.

AI receptionist in social channels

Business settings define reply modes and permitted assistant actions. For connected Messenger and Instagram channels, we refined service cards, further time-slot searches and conversation context.

Selecting a time prepares a summary. Booking requires separate confirmation and a fresh availability check. Questions about an address or price should not force a booking flow, and handoff to a person remains available.

Business-to-customer conversations

We refined editing your own message within ten minutes, deleting your own messages, delivery and read receipts, and unread counters in the messenger.

Retrying a save should not create a second copy of the same message. Reopening a conversation restores its saved state, not just the browser tab's local history.

GAIA: conversation, data and a next step

Commands such as “Show invoices” and “Show customers” use business data and can open previews. We improved conversation history, result presentation and suggested next actions.

We refined the voice and conversation controls. A proposed post or document remains a draft: publication, sending and signing are separate actions.

We restored screen building from voice commands and improved expanded invoice previews and connections to forecast results. A background conversation can be ended with a visible control even after moving to another module.

The side panel has fuller history and next-step suggestions. Post drafts preserve the requested topic and channel, and expanded previews and copying include the complete text, not just the card summary.

Wallet, reels and business discovery

Customer wallets use account ownership and paginated lists and history. We improved reel-to-post links, comments and customer views of business media.

Public photo and video publishing respects moderation results. We also aligned Hero status handling and private-location protection. This work does not yet mean a mobile app-store launch.

A form before the visit, a copy after signing

A business can share a beauty intake form for a specific visit. The customer completes it in their verified account and an authorised staff member reviews the answers. The form does not automatically qualify anyone for a procedure.

Visit Documents shows forms and signed document copies linked to the customer's account. A link alone does not grant access to someone else's information.

Clearer everyday screens

We improved appointment details, calendar navigation, staff selection and selected dashboard forms. Read errors are distinguished from situations where no data exists yet.

Light mode is the default while preserving the user's previous choice. We refined session recovery and first entry into a business. The offer-page demo is not a required step for starting a trial.

Have a question about staff or document setup? Contact us with the module name and a description of the issue. Do not include passwords or health records in your message.

This is a roundup of the main changes, not every technical change. Feature availability depends on permissions, business configuration and connected services.
