Payment Terms

13.1. Currency and prices

Asystio services are settled in Polish zloty (PLN) for Polish customers. For customers from other EU countries, payments in euro (EUR) may be allowed where the relevant offer or invoice process provides for it. Prices are shown as net or gross amounts, as indicated in the offer.

13.2. Payment operators – Autopay and Stripe

Asystio may process payments through Autopay or Stripe, depending on the purchase path, payment method, type of settlement and payment migration status. Autopay is the operator being implemented for Polish payment paths and card payments covered by the integration. Stripe remains available for legacy/migration paths and selected self-service payments or top-ups while active Stripe links and processes exist.

In both cases Asystio does not store full card details on its own servers. Card details are provided directly to the relevant payment operator through a secure form or tokenisation process.

13.3. Available payment methods

Available payment methods depend on the operator and the current purchase path. They may include Visa/Mastercard payment cards, BLIK, fast bank transfers, digital wallets and traditional bank transfer for selected annual settlements or individual B2B arrangements.

Before a payment or subscription is confirmed, the customer is shown information about the payment operator, selected plan, amount, currency, frequency, payment date, preferred billing date, communication channel and the business name visible on the statement where the operator provides such a descriptor.

13.4. Charge schedule

Monthly subscriptions are charged on the first day of the period or on the customer's preferred billing date where the payment path supports such a choice. Annual subscriptions are charged analogously in advance for the year. Before the end of a trial or paid period, we send a reminder where the nature of the settlement or applicable law requires it.

Recurring card payments and payment operators

For recurring card payments, Asystio uses automatic charges processed by the relevant payment operator, in particular Autopay or Stripe. The default business name visible on the customer's statement is ASYSTIO; the exact transaction description may depend on the payment operator, the customer's bank and the configuration of the payment method.

Billing date

The customer should be able to choose a preferred billing date where the relevant payment path and operator allow it. This increases the chance that funds will be available on the customer's balance on the charge date. If a preferred date is not technically available, we inform the customer about the payment date applicable to the selected plan and operator.

Pre-charge information

Before collecting a payment or enabling recurring card charges, we provide transparent information to the customer: the business name that may appear on the customer's statement (ASYSTIO or an operator-dependent descriptor), the amount and frequency of payment (fixed or variable), the payment date (fixed or variable), the communication method and information about the payment operator.

For fixed recurring payments, the customer receives a reminder at least once every 6 months. For variable amounts or irregular charges, the recommended notification is sent at least 7 days before the charge. If the product or service cannot be delivered, the customer will be notified without undue delay.

Consent to recurring charges

Automatic card payments require the customer's explicit consent to recurring charges. Consent is given actively, for example through an unchecked checkbox, and covers the selected plan, amount, currency, frequency, payment date, preferred billing date, communication method, payment operator and acceptance of the Terms of Service and recurring payment rules.

We store the consent electronically for the entire duration of the agreement. As part of the documentation, we also retain the customer's email confirmation of consent and the signed agreement or electronically accepted automatic payment terms where the relevant sales path provides for that form.

Cancellation of automatic payments

The customer may cancel automatic payment instructions online, in particular through account settings, the subscription panel or contact with Asystio. After the customer cancels the subscription, further charges are stopped immediately, subject to the technical processing time of the operator.

Cancellation requests are monitored daily. We respond without undue delay and confirm closure of the automatic transaction account or termination of automatic card charging to the customer.

Refunds after late cancellation

If cancellation was submitted too late and funds were nevertheless collected for a period that should no longer have been charged under the customer's instruction, we refund the funds and inform the customer about the method and timing of the refund.

Chargeback

After receiving a chargeback, we analyse the cause of the dispute and consider cancelling further charges to reduce the risk of additional unauthorised or disputed transactions. Where necessary, we contact the customer to clarify the service and subscription status.

Proof of service delivery

Asystio retains proof of delivery of the goods or service, in particular account activation data, platform access history, subscription status, email confirmations and other metadata necessary for billing, complaints, chargebacks and legal obligations.

Authentication of the first transaction

The first card transaction is authenticated according to the payment operator's mechanism, in particular using 3D Secure / SCA where required by law, the customer's bank or the operator's rules.

Email confirmations and retention of consents

After consenting to recurring payments, the customer receives an email confirmation containing at least: the service name, payment operator, plan, amount, currency, frequency, payment date, preferred billing date, communication method, the ASYSTIO descriptor or information that the transaction description may depend on the operator, and the method for cancelling automatic payments. We retain the confirmation of consent for the entire duration of the agreement.

13.5. Payment failure

If a payment fails, the system may retry automatically according to the operator's rules and the selected plan. After unsuccessful attempts and prior notice to the customer, access to the service may be suspended.

No payment = no access. To return, purchase a new package or contact Asystio about reactivating the subscription.

13.6. Refunds and refund policy

As a rule, fees for an already started subscription period are non-refundable unless the law provides otherwise. We nevertheless handle mistakes and complaints individually.

  • If the customer paid for the wrong plan or duplicated a payment by mistake, we correct it and refund the overpayment.
  • In dissatisfaction cases, we review complaints individually and may grant a partial refund or extend a trial as a goodwill measure.
  • For annual plans, early cancellation normally does not result in a refund, but in exceptional situations we may consider a proportional refund for full unused months.

Refunds are made using the same method as the original payment through the relevant payment operator, or by traditional bank transfer to the sender's account if that was the payment method. The customer is notified by email when a refund is granted, together with a corrective invoice note where required.

13.7. Invoices

We issue an invoice or receipt after each payment. Invoices are available in the customer panel and sent by email. From 2026, Polish invoices will also be issued through KSeF where required by law.

13.8. Price changes

We notify customers of material price changes at least 30 days in advance. The customer may cancel before the new rates enter into force. Price reductions or promotions may be applied immediately for the customer's benefit.

13.9. Promotions and coupons

We may periodically offer discounts, referral credits or promotional codes. The terms of each promotion are stated separately. Promotions cannot be combined unless expressly stated otherwise.

13.10. Payment security

Online transaction security is essential. Autopay, Stripe or another selected payment operator meets the applicable security standards for the supported methods, including PCI DSS requirements for card payments where applicable. Full card details are not stored on Asystio servers. The customer enters them in the operator's secure form or process, and the operator is responsible for tokenisation and transaction authorisation. In case of suspected unauthorised transactions, please contact us immediately; the operator supports chargeback and investigation processes.
